STUDENT FINANCIAL AID
SECTION ONE: PURPOSE AND ALIGNMENT
1.01 The purpose of this policy is to guide effective communication, foster positive community relations, and maintain productive governmental partnerships.
1.02 This policy aligns with the College’s mission by supporting students financially as they strive to reach their full potential.
SECTION TWO: SCHOLARSHIPS
2.01 The College District accepts monetary gifts to fund scholarships and endowments. The Office of Financial Aid administers scholarship programs in keeping with the intentions of the donors.
2.02 Angelina College provides education and opportunities without discrimination on the basis of race, color, religion, national origin, sex, disability, age, sexual orientation, gender identity, or gender expression when awarding scholarships.
SECTION THREE: SCHOLARSHIP COMMITTEE MEMBERSHIP AND DUTIES
3.01 The College President or designee shall appoint faculty members annually to serve on the Scholarship Committee. The Committee’s charge shall be to ensure the College District awards scholarships in accordance with donor intent and/or relevant rules and regulations. The College authorizes the Athletic Director and the Dean of Arts and Education, or their designees, to award athletic scholarships or visual and performing arts scholarships respectively independent from the Scholarship Committee.
3.02 The committee shall consist of full-time faculty, with each division of the College District being represented by one or more members, (See BGC).
SECTION FOUR: SCHOLARSHIP COMMITTEE MEETING DATES
4.01 The scholarship committee reviews scholarships from April through May and gives students scores based on eligibility.
4.02 The chairperson shall call additional meetings as necessary.
SECTION FIVE: COORDINATION AND COMMUNICATION BETWEEN THE SCHOLARSHIP COMMITTEE AND DIVISIONS AWARDING SCHOLARSHIPS
5.01 In addition to the committee, the Fine Arts Division, the Health Careers Division and the Technology/Workforce Division award scholarships. There are also several personal consultation scholarships awarded that are personally recommended by faculty.
5.02 In order to facilitate adequate control and fairness in the distribution of scholarships, the Fine Arts, Health Careers, and Technology/Workforce Divisions must provide the following information to the Assistant Director of Financial Aid and chair of the scholarship committee immediately after the selection of award recipients: name and student identification number of recipients, name of award, amount and duration of award.
5.03 The committee shall notify the above-mentioned divisions of any awards made by the committee for the purpose of ensuring fairness in the distribution of academic scholarships.
SECTION SIX: SCHOLARSHIP AWARDS/LIMITATIONS
6.01 Full-time scholarship recipients may receive awards for up to four semesters, fall and spring semesters only, provided they meet the eligibility criteria outlined in the specific award. No scholarships awarded by the committee shall be available during the summer terms.
6.02 Part-time students, enrolled in less than 12 semester hours, shall be eligible for academic scholarships that do not specifically state in the eligibility criteria that the student must be full-time.
6.03 Part-time scholarship recipients may be eligible for awards in excess of four semesters. The total dollar amount shall not exceed the amount a full-time student would receive on a comparable scholarship.
SECTION SEVEN: OFFICE OF STUDENT SERVICES RESPONSIBILITIES
7.01 The Director and Assistant Director of Financial Aid and shall ensure that scholarship information is current in the College Catalog . The Assistant Director of Financial Aid shall create and be responsible for the distribution of applications, brochures and other related documents.
7.02 The Assistant Director of Financial Aid shall compile a master list of all scholarship applicants and provide a list of applicants ranked by entrance exam scores, high school class rank, College District grade point average, and other pertinent information to the committee members at least three days prior to committee meetings.
7.03 The Assistant Director of Financial Aid shall receive the current scholarship balances from the designated staff in the business office to determine scholarship availability. The Assistant Director of Financial Aid shall provide the committee with a list of available scholarships, the eligibility requirements for each scholarship, and the number of awards that can be made from each scholarship. The Assistant Director of Financial Aid shall create and disburse letters of acceptance or rejection to scholarship applicants promptly after committee action. A master file of all acceptance letters shall be maintained.
7.04 The Assistant Director of Financial Aid shall review the income-by account, or summary, of all scholarship awards and shall reconcile it and make necessary corrections and initiate reimbursements when necessary.
7.05 The Assistant Director of Financial Aid shall work with recipients in sending letters of gratitude to donors and coordinate news releases concerning scholarships.
7.06 The Assistant Director of Financial Aid shall ensure the orderly processing of non-institutional and general criteria-driven awards and review awards prior to each semester to ensure that recipients meet the eligible criteria.
7.07 The Assistant Director of Financial Aid shall compile a list of all recipients awarded scholarships by the committee, including the recipient’s grade point average, total number of hours taken each semester and semesters on this scholarship. This information will be made available to the scholarship committee.
7.08 The Assistant Director of Financial Aid shall review the list of graduates at the conclusion of each term and notify the committee of graduation status.
7.09 The Associate Vice President of Student Services, or their designee, shall provide scholarship information and applications to prospective students at high school career days and other similar activities throughout the service area of the College District.
The Associate Vice President of Student Services is responsible for reviewing and updating this regulation. Policy reviews are made in accordance with the Office of Institutional Effectiveness Policy Tracking document.
